The position manages the day-to-day functions of the Psychology Department, including: (1) providing administrative support to the chairperson, assistant chairperson and the directors of graduate programs; (2) providing instructional and other support to faculty members; (3) providing support to undergraduate majors and to graduate students.
Duties and Responsibilities:
1.Manage the department office, including: assisting visitors; processing mail; communicating and problem-solving with university, college, Registrar, and other university offices; processing work orders; troubleshooting computers, printers, and copiers.
2.Provide administrative/secretarial support to the Chairperson, Assistant Chair, Directors of graduate programs, and all faculty members; requires handling confidential information 3.Oversee day-to-day activities of the undergraduate major, including organizing undergraduate advising; processing request forms; distributing permission numbers; responding to requests for information or assistance. 4.Assist day-to-day activities related to instructional tasks of faculty. 5.Provide assistance to the Director of Graduate Studies (DGS) of the doctoral program in clinical psychology and the Program Director of the master's and doctoral programs in Applied Behavior Analysis (ABA), including: email communications with applicants; assisting with interview days; communicating with Graduate School; assist with graduation audits of students. 6.Prepare and build schedules for all undergraduate and graduate classes each semester; distribute permission numbers. 7.Oversee and manage department budget in collaboration with Chairperson and college; manage internal/external orders; process reimbursement requests. 8.Assist Chairperson to gather and coordinate documents for: departmental annual reviews and strategic plans; faculty P&T dossiers; faculty applications for college/university awards; faculty grants. 9.Attend faculty meetings; record and distribute meeting minutes; assist Chairperson in prepare agenda for meetings. 10.Update changes (e.g., coursework descriptions, requirements) to both undergraduate and graduate bulletin 11.Process graduate assistant hires 12.Assist in planning department events 13.Supervise undergraduate student employee(s) in the department; delegate tasks to student worker 14.Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills, and Abilities:
High school diploma required
Two to five years related experience required
Excellent interpersonal and organizational skills
Ability to create, organize and maintain both manual and electronic filing systems
Advanced skill in Microsoft Word, Excel, Outlook, Powerpoint and Access.
Knowledge of budgetary processes
Ability to maintain confidentiality with student records
Preferred Knowledge, Skills, and Abilities:
Bachelor's degree, as the person will be dealing with college issues with both faculty, graduate and undergraduate students, and other departments and offices.
Initiative and ability to work autonomously
Strong problem-solving skills
Familiarity with university functions
Knowledge of Marquette's processes and procedures
